Overview

How it works

A lot of office time goes to the same small tasks. You copy details from an intake form into a spreadsheet. You rename and file attachments. You fill in the same template for every new job. None of it is hard, but it adds up, and mistakes creep in when people are rushed.

This service looks at those repetitive steps and automates the parts that are safe to automate: pulling details out of forms and documents, routing them to the right place, and preparing drafts for you to check. It's a discovery inquiry, which means we scope it with you on request. Scope and price are confirmed in writing after a short scoping conversation.

What it looks like

A typical walkthrough

For example, here's how an illustrative workflow might look for a landscaping company that handles new-client intake and job paperwork by hand today.

  1. A new request arrives

A customer fills in the intake form on your website or emails a filled-in PDF. The workflow picks it up from the inbox or form you already use.

  2. Details are pulled out

Name, address, service requested, and any notes are extracted into a structured record. Anything unclear or missing is flagged instead of guessed.

  3. The record is routed

The new record goes to the place you choose, such as your CRM, a shared spreadsheet, or a job folder. The original document is filed with a consistent name.

  4. A draft is prepared

A draft estimate cover letter or service agreement is filled in from the record using your approved template. It's marked as a draft.

  5. You review and approve

Your office manager checks the draft, corrects anything off, and approves it. Nothing that commits you to a price or terms goes out without that check.

  6. A simple log keeps track

Each step is logged, so you can see what came in, what was prepared, and who approved it.

What it does

What it does

  • Intake capture

Collects details from web forms, email, or uploaded documents into one consistent format.

  • Data extraction

Pulls key fields out of documents like intake forms, work orders, or invoices, and flags fields it can't read confidently.

  • Routing and filing

Sends records and files to the right folder, system, or person based on rules you agree.

  • Template-based drafts

Prepares letters, forms, and summaries from your approved templates, ready for review.

  • Checklists and reminders

Tracks which documents are still missing for a job or client and reminds the right person internally.

  • Review queues

Holds high-impact outputs in a queue until a person approves them.

  • Activity log

Keeps a record of what was processed, what changed, and who approved it.

What it can do for you

Why it can help

  • Less retyping

Details entered once are reused, so your team spends less time copying the same information between places.

  • More consistent paperwork

Drafts come from the same approved templates every time, which makes them easier to check.

  • Fewer things lost

Incoming documents get filed and logged instead of sitting in someone's inbox.

  • Clearer status

You can see what's waiting for review and what's missing, without asking around.

  • Time back for real work

Admin time can go to customers and judgment calls rather than data entry. How much depends on your volume and processes.

Who it's for

Is this a good fit?

  • Service businesses that handle the same intake or job paperwork many times a week
  • Owners or office managers who spend hours on data entry between forms, email, and spreadsheets
  • Teams that already have templates and want them filled in more consistently
  • Probably not the right fit if your paperwork changes completely every time, or you handle very few documents a month

How we work

From first conversation to a working setup

  1. Discovery

We walk through one or two of your current admin processes step by step and note where time goes and where errors happen.

  2. Scoping

We agree which steps to automate, which stay manual, what needs human review, and how data will be stored and accessed. Scope and price are confirmed in writing.

  3. Build and setup

We connect to the tools you already use where it makes sense and set up extraction, routing, and templates with limited access permissions.

  4. Testing with real samples

We test on sample documents you choose, compare outputs against what your team would produce, and adjust before anything goes live.

  5. Launch and adjustment

We switch it on with review steps in place and refine rules as real documents come through.

Scope

What's included, and what isn't

Typical scope. Exactly what's included is confirmed in writing for each project.

Typically included

  • Mapping one or more agreed admin processes
  • Intake and extraction from agreed sources such as forms, email, or uploads
  • Routing and filing rules to your existing tools
  • Draft generation from your approved templates
  • Review queue for outputs that need a person's sign-off
  • Testing on sample documents and a short handover guide
  • Exact scope is confirmed in writing before work starts

Not included

  • Legal, tax, accounting, or medical advice, or review of documents for those purposes
  • Signing or sending binding documents on your behalf without your approval
  • Replacing your CRM, accounting, or document system entirely
  • Cleanup of large historical archives, unless separately scoped
  • Costs of third-party software or AI usage, which may carry their own costs

What you'll provide

  • A walkthrough of the current process and who does each step
  • A handful of sample documents, with sensitive details removed where possible
  • Your current templates and any approved wording
  • Access to the relevant tools, at the minimum level needed
  • A named person to review and approve high-impact outputs

Safeguards

Controls built in

  • High-impact outputs, such as estimates, contracts, invoices, and anything sent to customers, get human review before use
  • Low-confidence extractions are flagged for a person instead of guessed
  • Access permissions are kept to the minimum each step needs, and you can revoke them
  • Data handling is agreed during scoping: what's stored, where, for how long, and who can see it
  • An activity log shows what was processed and who approved it
  • Automations can be paused, and your manual process still works if they are

FAQ

Questions owners ask

Will this send documents to customers automatically?

Not for anything high-impact. Estimates, agreements, invoices, and similar documents wait for a person to approve them. Lower-risk internal steps, like filing or internal reminders, can run on their own if you agree to that during scoping.

What happens to our documents and customer data?

We agree how data is handled before building: where it's stored, how long it's kept, and who can access it. We work inside the tools you already use where practical and use the minimum access needed. Some steps may use AI services, and we'll tell you which ones.

Can it read handwritten or scanned forms?

Sometimes, depending on quality. Clear scans and typed forms work best. Anything the system can't read confidently is flagged for a person rather than filled in by guesswork.

Do we have to change the software we use?

Usually not. We prefer to connect what you already have. If a tool can't be connected sensibly, we'll say so and talk through options.

How much does it cost and how long does it take?

It depends on how many processes and documents are involved. Scope and price are confirmed in writing after a short scoping conversation. Email sales@vyybe.co to start.
