Overview

How it works

Sometimes off-the-shelf software almost fits. You end up with spreadsheets, copy-and-paste between apps, and workarounds only one person understands. A commissioned project builds the piece that's missing, around the way you already work.

This is a discovery inquiry service. We don't sell a ready-made package. Every project starts with a conversation and scoping, followed by a written proposal. There's no automatic fixed price and no instant delivery.

We use AI-assisted development to reduce unnecessary build work, which can make custom software more affordable than you might expect. A person at Vyybe designs, reviews, and tests the work, and you approve what goes live.

What it looks like

A typical walkthrough

Here's an illustrative example for a plumbing business that tracks jobs across a spreadsheet, a calendar, and text messages. It's an example, not a past client.

  1. You describe the friction

You explain that job details live in three places and things get missed. You show us the spreadsheet and walk through a normal week.

  2. We map the workflow

We write down who does what, which tools are involved, and where information gets retyped or lost. You check that it matches reality.

  3. You get a written proposal

For example: a simple internal job board that pulls in new requests and shows each job's status. The proposal sets out scope, price, and what's out of scope.

  4. You try early versions

We share working previews as the tool takes shape. You and your team try them with real tasks and tell us what's awkward.

  5. It goes into daily use

After testing and your approval, the tool goes live. Your office manager opens one screen in the morning instead of three.

What it does

What it does

  • Internal tools

Simple apps for your team, such as job trackers, intake forms, scheduling boards, or approval queues.

  • Integrations

Connections between tools you already use so information moves between them instead of being retyped.

  • Customer portals

A private place where your customers can check status, upload documents, or submit requests, scoped to what you need.

  • Workflow software

Software that follows the steps your business already takes, with the checks and handoffs you need.

  • Scoping and written proposals

Before any build, we turn your requirements into a written proposal you can read, question, and approve.

  • AI-assisted development with review

AI tools speed up the build. A person reviews and tests the code before you see it and before it goes live.

What it can do for you

Why it can help

  • Software that fits your process

Instead of changing how you work to suit a generic tool, the tool is built around your steps.

  • Less retyping and fewer dropped details

When systems are connected, information entered once can show up where it's needed.

  • Clarity before you spend

You see a written scope and price before committing, so you can decide with the facts in front of you.

  • Room to grow

Custom tools can be changed as your business changes. Ongoing improvement can be arranged separately.

Who it's for

Is this a good fit?

  • Businesses that have outgrown spreadsheets for a core process
  • Owners whose off-the-shelf tools almost fit but leave gaps
  • Teams that retype the same information into several systems
  • Businesses that want a simple portal or tool for their customers
  • Probably not the right fit if an existing, affordable product already does what you need. We'll tell you if that's the case.

How we work

From first conversation to a working setup

  1. Understand

We talk through the problem, the people involved, and the tools you already use.

  2. Scope

We define what the software must do, what it won't do, and what success looks like in plain terms.

  3. Propose

You get a written proposal with scope and price. Work starts only after you agree to it.

  4. Build and review

We build with AI-assisted development and share working previews so you can give feedback early.

  5. Test, launch, and improve

We test with you, launch after your approval, and can arrange ongoing improvement if you want it.

Scope

What's included, and what isn't

Typical scope. Exactly what's included is confirmed in writing for each project.

Typically included

  • A discovery conversation and workflow review
  • A written proposal with scope and price
  • Design and AI-assisted development of the agreed software
  • Working previews during the build
  • Testing before launch
  • Launch support and a handover of how it works, as set out in the proposal

Not included

  • Automatic fixed pricing or instant delivery
  • Features outside the agreed scope, unless added in writing
  • Third-party software subscriptions, hosting, or AI usage, unless the proposal says otherwise
  • Ongoing feature work after launch, which can be arranged separately
  • Replacing large enterprise systems in one step

What you'll provide

  • A clear picture of the problem and how your team works today
  • Examples of the spreadsheets, forms, or documents you currently use
  • Access to the tools we'll connect to, or help getting it
  • A person who can answer questions and test previews
  • Final approval before anything goes live

Safeguards

Controls built in

  • Every project is scoped first and agreed in writing
  • You review working previews before anything reaches your team or customers
  • Nothing goes live without your approval
  • Access to your systems is limited to what the project needs
  • Changes to scope are written down and agreed before work on them starts

FAQ

Questions owners ask

How much does a custom project cost?

It depends on what the software needs to do. Every project is scoped first, then you get a written proposal with the price. There's no automatic fixed price.

How long will it take?

That depends on scope too, so we don't quote a standard timeline. The proposal explains what's involved, and we share working previews as the build progresses.

Do I need to know how to write a technical spec?

No. Describe the problem in your own words and show us how you work today. Turning that into a scope is part of our job.

What if an existing product would do the job?

Then we'll say so. Custom software only makes sense when it solves a problem that ready-made tools don't.

Who maintains the software after launch?

That's agreed in the proposal. If you want ongoing changes and improvements, ask about our AI-assisted development and continuous improvement service.
